Efficient and Save Software Selection

Software projects usually are a great challenge for companies: they interfere with the company's processes and structures, often affect several company divisions and many employees and software projects are a "one-time" activity, which is carried out in addition to daily business.  The common lack of experience with software projects increases the already heavy burden for the employees concerned.

A well-structured procedure, therefore, is a must in order to ensure the software project's success. At the same time, such a procedure also helps to protect a considerable investment.

Our yearlong experience shows that the following eight steps of software selection are a good guideline for companies of any size and industry who want to ensure that their software project is protected:

Step1: Project set-up
Step 2: Orientation
  • Clear and binding specification of functional, technical and service requirements.
  • Comprehensive market analysis (potential vendors and systems).
  • Clear and binding specification of due-dates and budgets.
  • Gathering of market information via trade fairs, internet and/or specialised magazines

Step 3: Process analysis Step 4: Requirement specification
  • Recording of existing organisational structures and processes
  • Identification of weak points and their causes
  • If need be, reorganisation of structures
  • If possible, use of relevant reference models and tools (Viflow, Bonapart etc.).
  • Identification of company-specific software requirements (functional, technical etc.)
  • Recording of requirements in a requirement specification sheet which later will form the basis for the contract with the vendor.
  • If possible, use of templates for requirement specification
Step 5: Market analysis
Step 6: Pre-selection
  • Identification of software solutions which meet requirements by default, e.g. with the help of the IT-Matchmaker's structured descriptions
  • Short-listing of 8-15 software solutions
  • Gathering of cost estimations for the short-listed software solutions
  • Analysis of cost estimations, e.g. with the IT-Matchmaker Toolbox.
  • Check of the software vendors' references
  • Pre-selection of 2-3 software solutions
Step 7: Final selection
Step 8: Contract negotiations
  • Creation of a company-specific test script incl. of a structured list of requirements
  • System assessments (1- or 2-day) on the basis of this script
  • Documentation and analysis of assessment results.
  • Decistion for the TOP candidate
  • Review and if need be completion of the requirement specification sheet
  • Specification of necessary interface programming and data transfer expenses
  • Development of a detailed implementation and training schedule
